These Terms and Conditions apply to all bookings, services, and travel arrangements made with Travel Zim. By making a booking, the client (“you”, “the traveller”) confirms acceptance of these Terms and Conditions.

1. BOOKINGS & CONFIRMATION

• 1.1 All bookings are subject to availability and written confirmation by Travel Zim.
• 1.2 A booking is confirmed once the required deposit or full payment has been received and written confirmation has been issued.
• 1.3 Travel Zim reserves the right to decline any booking at its discretion.

2. PAYMENTS

• 2.1 Payment terms will be communicated at the time of booking.
• 2.2 A non-refundable deposit may be required to secure services.
• 2.3 Full payment must be made prior to travel, as specified on the invoice.
• 2.4 Failure to make payment by the due date may result in automatic cancellation of services without refund and without further notice.
• 2.5 Certain lodges and activities have age restrictions. It is the client’s responsibility to ensure all travellers meet the required age limits.

3. CANCELLATIONS & REFUNDS

• 3.1 Cancellation requests must be made in writing.
• 3.2 Cancellation fees vary depending on suppliers, timing, and services booked.
• 3.3 Travel Zim shall not be responsible for refunds denied by third-party suppliers.
• 3.4 No refunds will be given for unused services, late arrivals, or early departures.

4. CHANGES, AMENDMENTS & PRICE ADJUSTMENTS

• 4.1 Any changes to confirmed bookings are subject to availability and additional costs.
• 4.2 Travel Zim reserves the right to make reasonable changes to itineraries due to operational requirements, safety concerns, or circumstances beyond our control.
• 4.3 Travel Zim reserves the right to adjust prices prior to final payment due to exchange rate fluctuations, supplier price increases, government levies, park fees, fuel surcharges, or taxes beyond our control.

5. TRAVEL DOCUMENTS & VISAS

• 5.1 It is the client’s responsibility to ensure passports, visas, permits, and health documentation are valid and compliant.
• 5.2 Travel Zim shall not be liable for denied boarding, entry refusal, or travel disruptions due to incorrect or incomplete documentation.

6. HEALTH, SAFETY & FITNESS

• 6.1 Clients confirm they are medically fit to participate in booked activities.
• 6.2 Certain activities involve inherent risks, including safari and adventure activities.
• 6.3 Clients must follow safety instructions given by guides, drivers, and activity operators at all times.

7. TRAVEL INSURANCE & PERSONAL PROPERTY

• 7.1 Comprehensive travel insurance is strongly recommended.
• 7.2 Insurance should cover medical emergencies, evacuation, cancellations, delays, and loss of personal belongings.
• 7.3 Travel Zim is not responsible for costs incurred due to lack of insurance.
• 7.4 Travel Zim is not responsible for loss, theft, or damage to personal belongings or baggage during travel.

8. LIABILITY & DISCLAIMER

• 8.1 Travel Zim acts solely as an agent for independent third-party service providers, including accommodation, transport, airlines, and activity operators.
• 8.2 Travel Zim accepts no liability for the acts, errors, omissions, or negligence of such third parties.
• 8.3 Participation in all activities is at the client’s own risk.
• 8.4 Travel times provided are estimates only. Travel Zim shall not be liable for delays caused by road conditions, weather, mechanical breakdowns, wildlife movements, or circumstances beyond our control.

9. FORCE MAJEURE

Travel Zim shall not be liable for failure to perform obligations due to events beyond reasonable control, including but not limited to natural disasters, weather conditions, political unrest, pandemics, government regulations, flight cancellations, and border closures.

10. BEHAVIOUR & CONDUCT

• 10.1 Clients are expected to behave respectfully toward staff, guides, fellow travellers, wildlife, and local communities.
• 10.2 Travel Zim reserves the right to terminate services without refund for inappropriate, unlawful, or dangerous behaviour.

11. PHOTOGRAPHY & MARKETING

Travel Zim may use photographs and/or videos taken during trips for promotional and marketing purposes, subject to the traveller’s prior consent. Clients who do not wish for their images to be used must notify Travel Zim in writing. A booking form will be provided where consent for the use of images will be requested.

12. COMPLAINTS

• 12.1 Any complaints must be reported immediately during the trip to allow for resolution.
• 12.2 Failure to report a complaint during the trip may limit Travel Zim’s ability to resolve the issue and may affect any subsequent claim.
• 12.3 Written complaints must be submitted within 14 days after completion of travel.

13. GOVERNING LAW & JURISDICTION

These Terms and Conditions shall be governed by the laws of the Republic of Zimbabwe. Any disputes shall be subject to the exclusive jurisdiction of the Zimbabwean courts.

14. ACCEPTANCE OF TERMS

By confirming a booking with Travel Zim, the client acknowledges that they have read, understood, and agreed to these Terms and Conditions.

Travel Zim (“we”, “us”, “our”) is committed to protecting personal information in accordance with applicable data protection laws, including GDPR and relevant Zimbabwean regulations.

• Passport and identification details
• Date of birth and nationality
• Contact details
• Travel details and preferences
• Emergency contact information
• Medical information (where voluntarily disclosed)
• Payment-related information (processed via secure third parties)

2. HOW WE COLLECT INFORMATION

Through booking forms, email/telephone communication, website forms, cookies, and authorised third parties.

3. PURPOSE OF COLLECTING INFORMATION

To process bookings, arrange services, communicate travel information, meet legal requirements, provide emergency assistance, and marketing (with consent).

4. SHARING OF INFORMATION

Shared only where necessary with accommodation providers, transport companies, activity operators, airlines, authorities, and insurers.

5. DATA SECURITY

Reasonable technical and organisational measures are in place to protect personal data. Access is restricted to authorised personnel.

6. DATA RETENTION

Personal data is retained only as long as necessary for legal and operational purposes. Booking and identification records may be retained for a minimum of 7 years. Thereafter, data is securely deleted or anonymised.

7. YOUR RIGHTS

You may request access, correction, deletion (where permissible), and withdraw marketing consent by contacting Travel Zim.
